POSITION SUMMARY AND OBJECTIVE

The West Edge Operations Assistant will be responsible for supporting the operation and management of events and event spaces at West Edge. This includes coordination with both internal and external stakeholders to support logistical needs for events held; administrative work to support the ongoing work of running a community gallery and venue space; and to support the ongoing function of the West Edge Building and its users in daily operations.

Essential Functions

  • Provide general administrative, creative services and assistance coordinating events with gallery manager to increase community engagement through organizing, planning, and implementing community events.
  • Assist with gallery hours as an onsite point of contact to open and close spaces for events as necessary, including on nights or weekends
  • Preparation of gallery space and assist with installation of artwork.
  • Preparation of artist’s labels and price lists.
  • Dismantling exhibitions, communication both written and verbal with artists and assisting with monthly newsletter.
  • Help with set up and clean up for gallery workshops.
  • Strong interpersonal skills are needed and a background in art / community engagement is helpful but not necessary.
  • Provides a wide array of administrative support, including meeting scheduling, preparation of correspondence, initial document drafting, proofreading, and document management.
  • Advance the organization’s creative placemaking body of work.
  • Support the coordination for, and set-up of, events held at West Edge by internal and external users, including day-of event management.
  • Support communication with tenants and event lessees and respond to requests or other needs as necessary.
  • Support West Edge operations to ensure the building is continually safe and secure, including routine open and close procedures, as well as monitoring condition of security and fire alarm systems.

Work Location and Hours of Work

  • This position is based at the West Edge Factory located in Huntington, WV.
  • The chosen candidate must have reliable transportation to regularly attend work at the office and other locations as required.
  • Some travel may be required to meetings.
  • The normal work week is Monday through Friday from 8:00 AM to 5:00 PM. However, given the nature of this role – attendance at events may require work after normal hours, including some weekends.
  • Coalfield offices are currently located in Huntington and Charleston, WV with worksites and partnerships throughout the 21 southern WV counties.

Environment Conditions, Physical Activity, Physical Demands

Occasionally:

  • Adjusting or moving equipment weighing up to 25 LBS (with or without accommodation)
  • Communicating with others to exchange information.
  • Repetitive motions such as folding chairs and tables, packing boxes, etc.
  • Remain in a stationary position, often standing or sitting for prolonged periods.
  • Moving self in different positions to accomplish tasks in various environments.
  • Ascending or descending ladders, stairs, scaffolding, ramps, poles and the like.

TRAVEL AND TRANSPORTATION REQUIREMENTS

Candidates must provide reliable transportation to their primary work location and other locations as required. Travel expenses (excluding commutes) may be reimbursed per Coalfield’s policies and procedures. Coalfield has a limited fleet of vehicles and frequently carpools to minimize travel burdens on employees. A valid driver’s license and annual completion of our drivers safety course is required in order to drive a Coalfield vehicle.

Required Experience and Education

  • High School or GED equivalent.
