POSITION SUMMARY AND OBJECTIVE

As the Property Site Manager, you will assume the duty of being the primary point of contact for multi-family rental inquiries, issues, and requests, redirecting and coordinating responses as needed. While this position works within the Revitalize Team and reports to the Asset Manager, the Property Site Manager must also support the Senior Director of Revitalize, Finance Team, Executive Team, and Board of Directors. The ideal candidate will demonstrate a capacity to
balance these competing demands, work with minimal supervision, and utilize technology to manage a high volume of paperwork and tenant issues. Candidates will be required to pass a background check and drug test as a condition of employment.

ESSENTIAL FUNCTIONS

  • Manage multi-family units and commercial rental facilities.
  • Promptly respond to all communications by preparing, maintaining, and distribute correspondences, including but not limited to memos, monthly tenant calendar, forms related to leasing, tenant certifications, and assemble and prepare estimates with vendors for repairs and construction.
  • Proactively detect and remedy common real estate issues, such as rental applications, leasing, and deviations from company policy and the Multifamily Housing Policy and Procedures Manual, House Rules, Lease violations, tenant retention, resident conflict, safety, or health hazards on site, building and site condition.
  • Schedule and process Move-Ins, Annual Certifications, Transfers and Move-Outs.
  • Assist the Asset Manager with preparing weekly and monthly reports, maintaining inventory of all sites’ mechanical devices, appliances, and equipment, compliance documentation and on-site inspections.
  • Conduct marketing, advertising, and vacancy tracking.
  • Responsible for documenting work orders and coordinating completion.
    Prepare bank deposits, and process invoices and receipts.
  • Respond immediately to site emergencies (health or safety related events).
  • Attend training and/or events as required.
  • Stay current and adhere to regulations and procedures of Multifamily Site funding
    requirements/compliance.

SUPERVISORY RESPONSIBILITIES

  • The Property Site Manager reports to the Asset Manager while expected to work with minimal supervision.
  • The Property Site Manager will be responsible for the quality and completeness of the work being done by ensuring the completion of work orders assigned to the maintenance
    staff and occasionally when contractors are required for repairs or construction.

Work Location and Hours of Work

  • This position is based in the Huntington, WV Coalfield office and regularly attend work at other property locations throughout Lincoln and Wayne counties.
  • Frequent travel is required to/from assigned property sites.
  • The normal work week is Monday through Friday from 8:00 AM to 5:00 PM
  • In emergency situations, the Property Site Manager must be available to work after
    hours including weekends, public holidays, and evenings.

  • Must be able to work with a diverse population with a professional and responsible
    demeanor.
  • Traveling and move about from one property site to another (to the offices and
    apartments) to accomplish tasks.
  • Communicating with others to exchange information.
  • Primarily work environment is indoors, occasionally outdoors in outdoor elements such
    as precipitation and wind and low and high temperatures.
  • Assessing the accuracy, neatness and thoroughness of the work assigned.
  • Extensive computer operation with repeated finger motions.
  • Involves working at a desk for extended amount of time.
  • Move equipment up to 50 LBS (with or without accommodation).

TRAVEL AND TRANSPORTATION REQUIREMENTS

Candidates must provide reliable transportation to their primary work location and other locations as required. Travel expenses (excluding commutes) may be reimbursed per Coalfield’s policies and procedures. Coalfield has a limited fleet of vehicles and frequently carpools to minimize travel burdens on employees. A valid driver’s license and annual
completion of our driver’s safety course is required to drive a Coalfield vehicle. Local travel is required to visit and work at multiple property site locations.

REQUIRED EXPERIENCE AND EDUCATION

  • High school diploma or GED is required.

Preferred EXPERIENCE AND EDUCATION

  • Work experience as a multi-family site manager
