POSITION SUMMARY AND OBJECTIVE

The Project Accounting Coordinator will provide complex accounting and administrative support services to assigned grants and projects.

ESSENTIAL FUNCTIONS

  • Develops, proofreads, and maintains budgets for assigned projects.
  • Reports budget versus actual performance; summarizes key variances.
  • Drafts and completes all financial reports, explanations, narratives, and related forms required by assigned projects.
  • Provides outside auditors with assistance; gathers necessary account information and documents to perform annual audit.
  • Maintains compliance with contractual reporting obligations; submits reports using the portals, process, and format required by each funding source.
  • Develops and maintains master files on grants and paperwork connected to programs funded by grants.
  • Coordinates and performs the financial monitoring and risk assessment of strategic partners for compliance and due diligence purposes.
  • Provide high-level administrative support to financial milestones and deal closings related to assigned projects.

  • Extensive knowledge of general financial accounting and cost accounting.

  • Professional and tactful interpersonal skills with the ability to interact with a variety of personalities.

  • Thorough understanding of grant funding policies and procedures and applicable local, state, and federal regulations (or possess ability/willingness to learn quickly).

  • Understanding of and ability to adhere to generally accepted accounting principles.

  • Highly proficient with accounting software and working with financial data.

  • Ability to be discreet and maintain confidentiality with personal information that may be needed for some grants such as employee salaries or upcoming projects.

  • Excellent written and verbal communication skills.

  • Excellent project management skills and ability to prioritize work and resources.

  • Excellent time management skills with proven ability to prioritize and meet deadlines.

  • Excellent organizational skills and attention to detail.

  • Proficient in Microsoft Office Suite or similar software.

Work Location and Hours of Work

  • Coalfield offices are currently located in Huntington and Charleston, WV. The chosen candidate must have reliable transportation to regularly attend work at the office and other locations, as required.

  • Some travel is required to meetings and to facilitate relationships with existing and potential partners.

  • The normal work week is Monday through Friday from 8:00 AM to 5:00 PM.

  • To support work/life balance and optimize use of office space, this role may be permitted to work from home/work remotely when properly requested and approved. On average, you will be expected to work at least three out of five work days in the office.

Environment Conditions, Physical Activity, Physical Demands

  • ● Prolonged periods sitting at a desk and working on a computer.

    ● Must be able to lift up to 15 pounds at times.

TRAVEL AND TRANSPORTATION REQUIREMENTS

Candidates must provide reliable transportation to their primary work location. Coalfield has a limited fleet of vehicles and frequently carpools to minimize travel burdens on employees. Travel expenses (excluding commutes) may be reimbursed per Coalfield’s policies and procedures.

REQUIRED EXPERIENCE AND EDUCATION

  • Bachelor’s degree in Accounting, Finance, or related discipline required.

  • Three years of accounting experience required.

PREFERRED EXPERIENCE AND EDUCATION

  • Experience working with nonprofit organizations, grants, and federal awards

  • CPA license or demonstrated progress to CPA licensure
