POSITION SUMMARY AND OBJECTIVE
The Assistant Controller is responsible for preparing a wide variety of financial statements, reports, and analyses for grantors, banks, auditors, and management. This position works with the organization’s Executive Team, Finance Team, senior staff, consultants, and auditors to ensure everyone has the best possible financial information to support Coalfield’s mission.
Essential Functions
Ensure the organization is always audit ready.
Administer the organization’s accounting and document management systems to provide one source of the truth for financial information.
Ensure an accurate and timely monthly and annually financial closes, recording adjusting journal entries for accruals, deferrals, depreciation, payroll, etc.
Closely supervise the finance team in inputting, coding, and reconciling source documents for accounts payable, accounts receivable, payroll, sales, fixed assets, purchasing, and all other financial activity.
Detect, prevent, and correct errors, mistakes, omissions, and misstatements to ensure financial information is complete and accurate throughout the organization.
Oversee and enforce internal controls and recommend improvements.
Maintain and adjust depreciation and fixed asset schedules.
Prepare journal entries for the general ledger for reporting.
Assist with forecasting and budgeting.
Maintain and reconcile schedules of loans, amortization, and interest expense.
Reconcile bank accounts, loans, purchase cards, employee benefits, and vendor charges to accounting system, underlying source documents, and statements.
Identify and act on cost savings opportunities.
Develop and maintain financial policies and procedures, accounting systems, and chart of accounts.
Perform internal audits.
Manage expense allocations to activities, projects, and funding sources.
Support the preparation of budgets, cash flow forecasts, business and strategic plans, and other essential financial information.
Establish procedures for custody or control of assets, records, loan collateral, or securities to ensure safekeeping.
Help implement internal control measures to ensure regulatory compliance.
Develop and manage relationships with key vendors and community partners to build and maintain Coalfield’s reputation for trust and integrity.
Competency - knowledge, skills and abilities
Preparation of financial statements in accordance with U.S. Generally Accepted Accounting Principles
Advanced proficiency with and ability to learn accounting and spreadsheet software.
Comfortable and experienced working in a technology-driven work environment: typing, internet research, online account and password management, learning new software and technologies, digital file and content management, computerized workflows and accounting processes.
Excellent analytical, technical, communication, organizational and interpersonal skills
Knowledge of accounting principles, best practices, and related software. Ability to read and interpret financial statements and prepare budgets and financial plans.

SUPERVISORY RESPONSIBILITIES
This position will begin with a transitional period of approximately 6-12 months where supervision of Finance Team Staff Accountants shifts from the Controller to the Assistant Controller. The CFO, Controller, and Assistant Controller will co-lead the Staff Accountants during this period while training the Assistant Controller. At the end of the transitional period, supervision of the Staff Accountants will shift entirely to the Assistant Controller.
Work Location and Hours of Work
Office in Black Diamond Building 2923 Park Avenue Huntington, WV
The normal work week is Monday through Friday from 8:00 AM to 5:00 PM. However, given the nature of this role – attendance at events may require work after normal hours. Coalfield allows exempt employees to request & use flextime.
This position is expected to report to the office in-person during the first three months of employment as this is a very important time to build relationships and learn the job at the job. After this three month period, the Assistant Controller may work up to two days per week from home, subject to their supervisor’s approval.

TRAVEL AND TRANSPORTATION REQUIREMENTS
This is mainly an office job, but occasional travel within our 21-county service area is required. Candidates must provide reliable transportation to their primary work location and other locations as required. Travel expenses (excluding commutes) may be reimbursed per Coalfield’s policies and procedures. Coalfield has a limited fleet of vehicles and frequently carpools to minimize travel burdens on employees. A valid driver’s license and annual completion of our drivers safety course is required in order to drive a Coalfield vehicle.
Required Experience and Education
BA/BS in accounting, finance or related field.
2+ years of accounting, finance, business management, or non-profit experience
Experience in accounts payable and receivables preferred
CPA designation preferred
Experience working with small businesses and social enterprises preferred
Federal grants experience preferred
